Request for Public Records

According to Natchez-Adams School District policy (CNA), public records of the Board of Trustees of the Natchez-Adams School District are made available to the public as a result of the Mississippi Public Records Act of 1983. The Public Records Act places certain restrictions upon access to school records for protected information, such as trade secrets, confidential commercial and financial information, and confidential and privileged materials. In order to comply with the requirements of the Public Records Act, it is necessary to file a written request for access to the records. In addition, certain specific written guidelines are to be followed.

Written Request for Access

You must complete the Request for Public Records, deliver it to the Office of the Superintendent of Education at 10 Homochitto, Natchez Mississippi, 39120, and submit the appropriate fee. Your request will then be processed, reviewed and acted upon within seven (7) working days. If you are granted access, you will be notified, and you will have five (5) working days within which to complete your inspection. All inspections shall take place at the office of the superintendent between the hours of 8:00 a.m. and 4:30 p.m. on Monday through Friday, legal holidays, as defined by the board, excepted. 

Fees

The fees set forth on the request reflect the costs to the school to comply with your request and the Public Records Act. The Act requires that the fee be collected in advance. If you wish to obtain a copy of a public record, you should designate on the attached access request the record desired. A search fee of $15.00 per hour has been established for requests for access to the requested public record. If the search can be completed in less time, you will receive a refund. If the search is not completed in six hours, you will be notified, and an additional payment will be requested before the search will continue.

Copy Request

Copies of the requested public record will be made at a charge of $1.00 per page. You can designate the pages that you wish copied at the time of your inspection, but you will have to pay the copy charge before the copies can be made. If you would like to have the copies mailed to you, and if you do not need to inspect the document prior to requesting copies, you may request a copy charge quotation by telephone and submit the proper check by mail, in which case the copies will be mailed to you.

Miscellaneous

If your request for access is denied because of failure to comply with these procedures or because of exemptions from the Public Records Act, you will be sent a written denial stating the reasons for the denial. The written denial will be kept on file at the Office of the Superintendent of Natchez-Adams School District and will be open to inspection upon written request between the hours of 8:00 a.m. and 4:30 p.m. on working days Monday through Friday.
